Calendar Event Input Guidelines

Guidelines for Submitting Calendar Events for inclusion on the Red River Valley Website

(Calendar inputs are for RRVTA Members Only, and must be submitted to contact@redrivervalley.info)

Each calendar event has the following general format:

NOTE! please do not include items shown in GREEN - they are for your reference only.

Line 1:Date(s) of event in the format Month, dd, yyyy - Time(s) if applicable
Line 2: City, ST - Sub-location
Line 3: Name of Event
Line 4: Brief description of event - about 400 characters including spaces
Line 5: Call: (903) 123-1234
Line 6: Email: info@EventNameDomain.com
Line 7: Website: www.WebsiteName.com
Line 8: Flyer: www.WebsiteName.com/PageName.html OR ..../FlyerName.PDF

NOTE: Please do not include bullets or dashes - they are for your reference only; the 'examples' are shown in Blue

Line 1 - Date(s)
General format: Month, dd, yyyy - 0:00 AM[PM]
examples:


Line 2 - Location
General format: City, ST - Upper and lower case text
examples:


Line 3 - Name of Event
General format: Upper and lower case text
examples:

Line 4 - Brief Description of event
General format: Upper-lower case text - NO Line Feeds & NO Carriage Returns, please! (except at the very end)

Line 5 - Call (telephone number)
General format: Call: (nnn) nnn-nnnn - Use parenthesis around the AreaCode - space - 3-digit exchange followed by a hyphen and 4-digits - May be followed by a contact person's name.
examples:

Line 6 - Email Address
General format: Email: SomebodyName@DomainName.tld - Spell it out - you MAY use Upper & Lower Case in DomainName for readability - do not link - we will link and make it 'active' the word "Email" followed by a colon, followed by a space followed by the actual email address

Line 7 - Website URL (Address)
General format: Website: www.DomainName.tld - Spell it out - you MAY use Upper & Lower Case in DomainName for readability - do not link - do not use the "http://" part - we will link and make it 'active' (although it is not needed for a link, please DO include the "www." part - [unless it is a sub-domain]. Thanks!)

Line 8 - Flyer
General format: Flyer: www.DomainName.tld/PageName.html
OR - Flyer: www.DomainName.tld/FlyerName.pdf
OR - Flyer:
- leave blank if you supply a PDF Flyer with your input.

Spell it out - you MAY use Upper & Lower Case in DomainName and/or PageName for readability - do not link - do not use the "http://" part - we will link and make it 'active' (although it is not needed for a link, please DO include the "www." part - [unless it is a sub-domain]. Thanks!)

NOTE: You may send us a PDF flyer directly if you wish - we will LINK it for you - just add the word "Flyer:" and leave blank afterward - as in LAST Example. All PDF Flyers should be less than 1 MB.

NOTE: The last two examples above are the same URL and will work the same; they are shown as such to illustrate the use of Upper-Lower case in a URL for better (and quicker) user readability. You may submit URLs in either format - this is just a handy suggestion.

NOTE: If there is NO Email, leave that entire line out. Same for Website, Flyer, etc., or any other line where there is no information. (You may have fewer than 8 lines.)

You may attach file(s) to the email, or place the items inline within the email.

Using this suggested input format for all your calendar events will speed up the website update process greatly and will save the Association time and money!
